  2.  INFORMATION WE COLLECT

Depending on how you use our services, we may collect:

• your name, address, email address, telephone number and account details;

• booking, attendance, payment, order, delivery and communication records;

• information about your dog, including their name, breed, age, health, behaviour and safety needs;

• relevant participant health, allergy, accessibility, emergency-contact and consent information;

• Explore Club profile information, chosen challenge, mileage, walks, achievements, photographs and optional fundraising information;

• photographs, videos, testimonials and stories where they have been submitted or separately authorised;

• website, device, browser, IP address, cookie and usage information; and

• incident, complaint, safeguarding and insurance records where required.

We do not receive or store full payment-card details where payment is processed by an external payment provider.

  3.  WHY WE USE YOUR INFORMATION

We may use personal information to:

• create and manage accounts, bookings, orders and payments;

• assess suitability and provide activities safely;

• communicate instructions, reminders, changes and customer support;

• maintain dog-welfare, safeguarding, incident, complaint and insurance records;

• operate Explore Club profiles and requested member features;

• fulfil legal, accounting and regulatory obligations;

• prevent fraud, misuse and security incidents;

• improve our website, facilities and services; and

• send marketing where we have valid permission or another lawful basis.

  4.  OUR LAWFUL BASES

We rely on contract where information is required to provide a booking, membership or order.

We rely on legal obligation where records or disclosures are required by law.

We may rely on legitimate interests where information is necessary to operate, protect and improve the business without overriding individual rights.

We rely on consent where a genuine choice is required, including certain marketing and public use of photographs, videos and stories.

Health and safeguarding information may require an additional lawful condition. We use and retain this information only where necessary for safety, substantial public interest, legal claims, vital interests or explicit consent, as appropriate to the circumstances.

  5.  CHILDREN

An adult must create the customer account and make ordinary bookings involving a child.

We collect only the information reasonably required for safe participation, emergency contact, consent and safeguarding.

A parent or legal guardian must provide separate consent before we publicly use an identifiable child’s photograph, video, name, testimonial or story.

  6.  SHARING YOUR INFORMATION

We may share necessary information with service providers supporting our website, bookings, payments, email, delivery, IT, professional advice and insurance.

Where necessary and lawful, we may also share information with emergency services, veterinary professionals, safeguarding bodies, regulators or law-enforcement authorities.

We do not sell personal information.

We require service providers to protect information and use it only for permitted purposes. Where information is transferred outside the United Kingdom, we use an applicable legal safeguard.

 

  7.  HOW LONG WE KEEP INFORMATION

We keep information only for as long as it is needed for the purpose for which it was collected, including service delivery, safety, safeguarding, tax, insurance, disputes and legal obligations.

Retention periods vary according to the type of record. When information is no longer required, it will be securely deleted or anonymised.

  8.  YOUR RIGHTS

Depending on the circumstances, you may have the right to:

• access your personal information;

• correct inaccurate information;

• request deletion or restriction of your information;

• object to certain uses of your information;

• receive portable information; and

• withdraw your consent.

Withdrawing consent does not affect any use of your information that was lawful before consent was withdrawn.

  9.  SECURITY AND ACCOUNT PRIVACY

We use reasonable technical and organisational measures to protect personal information. However, no online service can be guaranteed to be completely secure.

Please keep your password confidential and contact us if you suspect unauthorised access to your account.

A member profile will not be made public automatically unless the member is clearly informed and given a genuine choice.

Photographs, walk records and stories uploaded to a private member dashboard remain private and do not give us permission to publish them.

  10.  MARKETING

Marketing choices are separate from acceptance of our service terms.

You can unsubscribe using the link provided in a marketing email or by contacting us.

Messages that are necessary for an active booking, account, membership or order are service communications and may still be sent where required.

  11.  CHANGES TO THIS POLICY

We may update this policy when our services, providers or legal obligations change.
